How we collect, use and protect your personal information in accordance with the Privacy Act 2020.

We collect and handle personal information, in accordance with the Privacy Act 2020, when you register for Clean Up The Hutt, access this website, and use the services and features provided on or in connection with this event and website.

Clean Up The Hutt is co-run by Sustainable Coastlines and Conservation Volunteers New Zealand (CVNZ), in partnership with Hutt City Council. This privacy statement governs the collection, use and disclosure of your personal information by these organisations throughout this event and website. This privacy statement is supplemented by, and is subject to, any specific privacy statements that apply to any particular services or features offered through this site or our other programmes.

What personal information we collect

The personal information we may collect from you in connection with Clean Up The Hutt and this website includes your:

  • to facilitate your registration and participation in Clean Up The Hutt;

  • to communicate with you about the event, including site allocations, safety information, and event updates;
  • to provide support services and answer your enquiries;
  • to enable appropriate collaboration between Sustainable Coastlines, Conservation Volunteers New Zealand (CVNZ), Hutt City Council, Department of Conservation, and other event partners;
  • to track and report on litter collection and environmental impact;
  • to promote our work and the event through photographs and stories (with your consent);
  • to market and promote our services, events, and programmes to you (with your consent);
  • to carry out research, obtain feedback, and improve our services;
  • to respond to access and correction requests;
  • to develop and improve our website, services, products and operations; and
  • any other purpose associated with our normal charitable functions and activities, including for reporting purposes and administration and management.

How we share personal information

Personal information we collect may be shared with:

  • employees and contractors working for Sustainable Coastlines and Conservation Volunteers New Zealand (CVNZ), to the extent they help provide the event and services to you;
  • between the event co-organizers (Sustainable Coastlines and CVNZ) and our partner Hutt City Council, for the purposes of coordinating and delivering Clean Up The Hutt;
  • third party service providers who help us provide the event and services, including email providers, SMS providers, and website hosting providers;
  • our affiliates and related organisations, for the purposes as set out in this privacy statement;
  • our event partners, including Department of Conservation and sponsors, where relevant to the delivery of the event;
  • government and Crown agencies that we work with or help us undertake our functions, where we may share aggregated or de-identified data for research or environmental initiatives;
  • any persons as required or permitted by law; and
  • anyone else, with your consent.

When we share data with research or government partners, this is always done under strict privacy conditions and typically involves aggregated or de-identified data that cannot be traced back to individuals.

Overseas disclosure

Some of our third-party providers may be located outside of New Zealand, including cloud service providers, email service providers, and software providers. This may mean some of your information may be disclosed, held and/or processed outside of New Zealand. Where these service providers are based overseas, we will take reasonable steps to satisfy ourselves that they are subject to privacy laws that, overall, provide comparable safeguards to those in the Privacy Act 2020.

Security of your information

Your data security is our priority. Whether stored in digital databases or in physical formats, we adopt strong measures, including encryption and secure access controls, to protect against unauthorised access or breaches. We will keep your personal information only for as long as is required for the purposes for which the information may be lawfully used. After that, we will securely destroy or de-identify the information.

Your rights

You have a right to access the personal information that we hold about you, and to request correction of any personal information that we hold. You may also provide to us a statement of the correction you are seeking, and if we do not agree to make the correction you have requested, you may request that we attach that statement of correction to the relevant information.
